Unified Data & Folder Structure
1. What It Is
All your information — files, emails, tasks, notes, chats — lives inside a single shared folder structure.
This structure is used across all apps and applies the same permissions, metadata, and access logic everywhere.
All of these data types are called "items". An item can be a file, an email, a note, a task, a calendar event, or even a message. This unified concept of “item” is central to how the system works — and it’s why the top menu says “Item” instead of “File.” All items belong inside a parent folder, under the same shared folder structure for your company. There’s no “file drive” vs. “email inbox vs. “task board.” Just one unified storage and folder tree for everything.
2. Why It Matters
Most platforms fragment your work — files live in one system, emails in another, tasks somewhere else — each with different rules, structures, and permissions. That fragmentation creates silos, manual work, context-switching, and broken workflows.
SynergyOS solves this with a unified item and folder system:
- ✅ Fewer silos – Store all your items — files, emails, tasks, notes, etc. — in one place
- ✅ One permission model – Share a folder once; it governs every item inside
- ✅ Stronger collaboration – Teams organize, tag, and work on the same data together
- ✅ Persistent context – Items stay tied to the folder (e.g. client or project) — even if people change
- ✅ Lower cognitive load – Learn one system, use it everywhere
3. How to Use It
Navigate Your Folders
- Every app (Drive, Email, Tasks, etc.) uses the same folder tree
- The left-hand pane stays consistent — with Recents, Quick Access, and Filters
- Navigate once, and view all relevant items in context
Organize Work by Context
Use folders like:
/Clients/Acme Inc/
/Projects/Project Phoenix/
/Legal/NDAs/
/HR/Team Onboarding/
Inside a folder, you can store any item:
- 📁 Files
- 📝 Notes
- 📧 Emails
- ✅ Tasks
- 💬 Chats
💡 Example:
You’re working on a deal with Acme Inc
- Folder:
/Clients/Acme Inc/Q2 M&A/
- Inside: notes, contracts, client emails, tasks
- Switch apps, stay in context — everything’s in the same place
Tips for Setup
- Standardize folder naming (e.g.
/Clients/Company Name/
) - Use folder templates for repeatable processes (e.g. project or deal folders)
- Apply metadata at the folder or item level (e.g. stage, owner, value)
4. FAQ
What exactly is an item in SynergyOS? An item is any unit of content — a file, email, note, task, calendar event, or chat message. All items follow the same rules for search, metadata, versioning, and permissions.
Can I give someone access to just one folder?
Yes. Permissions are per folder, and apply across all apps.
What happens if I move a file or email?
Its new location applies system-wide. Nothing breaks.
Can folders have types (e.g. project, client, deal)?
Yes. You can assign folder types and structured metadata, and view them in Collections.
